Moving to a New PC: A Checklist for Files, Email and Software

The new computer has arrived. Before you wipe the old one, take a little time to check what actually needs to move. Files are only part of the job: email, applications, licences and account access matter too.

Make an inventory and a backup

List the folders you use, including Desktop, Documents, Downloads and any custom locations. Add photos, accounting files, templates and project folders. Check other user profiles if the computer is shared.

Create a separate backup and open a few sample files from it. If you use cloud storage, confirm the upload has finished and that you can see the files online in the correct account. Do not assume every folder is included.

Check sign-ins before moving

Make sure you can access your main email account and password manager. Keep your multi-factor authentication method available, particularly if you are replacing your phone as well. Store recovery codes securely rather than in an unprotected document on the desktop.

For a business PC, coordinate the move with whoever manages company accounts and device access.

Treat email as its own task

Mail that appears in webmail is different from a local archive saved only on the old computer. Check for archive files, locally stored messages, contacts and calendars. If you are unsure how the account is configured, ask before deleting the old profile.

Send and receive a test message on the new machine, and check older mail you expect to keep.

Reinstall applications properly

Copying an application folder is usually not the same as installing the program. Make a software list, obtain installers from official sources and check licence transfer conditions. Some products require deactivation on the old device.

Open essential documents in the new installation. Test printers, scanners, external drives and any specialist equipment. A successful sign-in does not prove the whole workflow works.

Keep the old computer until checks are complete

Run through a normal working day on the new PC before retiring the old one. Verify the backup, file access, email and important applications. Keep the old device secure while you check; do not continue editing different copies on both machines without a clear plan.
