Saving a document in OneDrive is handy: it can be available on your laptop, desktop and the web. But having a file appear in several places does not necessarily mean you have several independent copies.
Sync keeps changes in step
OneDrive synchronises files. Delete a file inside a synced OneDrive folder, and that deletion can flow through to OneDrive online and your other synced devices. Moving a file out of that folder can also remove it from OneDrive.
If you only want to save space on your computer, do not delete important files to achieve it. OneDrive’s Free up space option can remove a downloaded local copy while keeping the file online. You will need internet access to open an online-only file again.

Deleted something by mistake?
Sign in to the correct account on the OneDrive website and check its recycle bin. Microsoft currently lists 30 days for personal accounts and normally 93 days for work or school accounts, unless the administrator has changed the setting. Online-only files may not appear in your computer’s recycle bin. See Microsoft’s recovery instructions.
Act promptly. Recovery features have limits, and an emptied recycle bin or expired retention period can change your options.
Ask what your backup needs to survive
For family photos, business records and work you cannot recreate, think beyond a lost laptop. Could you recover from an accidental folder deletion discovered weeks later? What if you lost access to the account itself?
A separate backup with retained versions gives you another recovery path. Decide what it covers, how often it runs and how far back it goes. Keep backup access protected, and test restoring a sample file instead of relying only on a “completed” message.
Check the folders that matter
Make a short list: documents, photos, accounts data and any files saved outside your usual folders. Confirm each location is covered. A cloud icon alone does not tell you whether every important file is protected.
