You click Print, nothing happens, and Windows says the printer is offline—even though it is sitting there with its lights on. “Offline” often describes a communication problem, so it is worth checking the connection before assuming the printer has failed.
Look at the printer first
Check its screen for a paper jam, empty tray or other error. Wake it from sleep and make sure it has finished starting up. If it can produce a test or status page from its own controls, that helps separate a printer problem from a computer connection problem.
Check how it connects
For USB, check both ends of the cable and try a direct connection to the computer. For a network printer, confirm it is connected to your usual network. A guest network may keep devices apart.
Think about recent changes. A replacement router, new Wi-Fi password or moved cable can leave the printer using settings that no longer work.
Choose the right printer and inspect the queue
Check the selected printer in the print dialogue. Similar names can refer to old installations or another device. Open the print queue and look for a stuck job. Cancel your failed job if appropriate, then send one short test document. Check with colleagues before cancelling shared work.

Avoid creating a bigger queue
Clicking Print repeatedly can leave multiple copies waiting to appear when the connection returns. Use a one-page test and wait for the result before sending a large document.
Before removing an office printer, note its name and any special settings. Shared printers may rely on a print server or an administrator’s setup. Download drivers only from the manufacturer’s official support site, matching the exact printer model.
What to tell your technician
Have the printer model, computer type, connection method and exact error ready. Mention whether other computers can print and whether the printer can make its own test page.
